As the current Executive Assistant is retiring, we are now seeking a positive, proactive, and highly organised professional to carry this important role forward at the core of Wärtsilä's global business.
The President, Energy is also a member of Board of Management for Wärtsilä. Energy is a highly international business with more over 5000 employees and a leadership team of ten people. In Helsinki, the Energy unit employs approximately 120 employees.

Hybrid-work model: Mainly office-based role, occasional remote days are possible
Travelling: The role does not involve regular travelling

Key Activities and Responsibilities
As Executive Assistant you will provide comprehensive support to the President, Energy, handling diverse responsibilities and challenges brought on by the international and complex business environment. Your tasks include calendar and travel management responsibilities, meeting agenda preparations, event organizing including high-level visits, and other communication-related duties.
You will play a key role in fostering an open and approachable leadership culture. You will also take the lead in bringing the team of Executive Assistants within Energy together in a positive, cooperative and inclusive atmosphere to develop the common processes and ways of working.
You will need to juggle multiple tasks and competing priorities, using your excellent judgment in preparing and planning for the President, Energy agenda and interactions with internal and external stakeholders. You will need to be proactive and think ahead, while maintaining flexibility in finding creative solutions to the unexpected in a high paced environment.
Knowledge, Skills and Experience – What is Wärtsilä expecting from you?
We are looking for an experienced Executive Assistant with excellent skills in cooperation, communication, and networking. You also possess a superior level of integrity with the ability to handle sensitive and confidential information as well a resourceful and service-focused mindset. To succeed in this role, we are looking for someone with:
Several years of experience as an executive assistant for C-level leadership in a global environment. Experience in a publicly listed company is considered an advantage.
Ability to organize, structure and prioritize a wide range of executive support-related tasks in an efficient and proactive way
Strong problem-solving and decision-making skills with great attention to detail
Strong drive for continuous improvement and a determination to finalize tasks on time with a high-quality mindset
A flexible, positive and inclusive mindset
Excellent written and verbal communication skills in both English and Finnish. Swedish is considered an advantage
Experience with different IT tools such as MS tools and SAP
